Apprenticeship Summary

- To providing a helpful customer service to students, staff, contractors, and visitors always.

- To challenging student behaviour as required.

- To monitor services to ensure all campuses are clean, secure and in good repair, providing very high levels of service to the College.

- To assist the Soft Service Facilities Manager in developing strategy and supporting procedures to monitor and audit all relevant statutory and other policies, analyse and report findings in a timely manner as required.

- To provide administrative assistance such as raising and receipting purchase orders, organising, and filing documents, digitalising folders, ordering supplies, and completing minutes of meetings.

- To assist in arranging contracts, including contractor selection and the tendering process, e.g. cleaning services, hygiene, pest control etc

- To pro-actively monitor the performance of the team and contractors through rigorous inspection regime to ensure a high standard of delivery and assessing performance against identified KPI’s.

- To assist in managing the goods in and reception areas by ensuring cover is provided and all procedures are up to date and implemented.

- To ensure College events are included onto the premises support calendar and the events are set up correctly and in a timely fashion.

- To act as the first point of contact for external hire booking enquiries and carry out the administrative process to include issuing hire agreements, showing customers the facilities, preparation of finances reports and including the event on all required systems.

- To develop a working understanding of Health & Safety, Fire, and other legislation and regulations as they relate to Facilities Management operations.

- To liaise with various personnel to arrange access and out of hours work by contractors and arrange for ID badges to be issued to staff when required.

- To keep appropriate record systems up to date and assist with the upkeep of a property asset register for the school Help maintain filing & information retrieval systems.

- To actively seek to implement the College’s Health and Safety Policy in relation to the duties of the post, and always give due regard to the health and safety of both themselves and others when carrying out their duties.

- To report to the Soft Services Facilities Manager/ Head of Service any departures from standards from cleaning, security contractors or maintenance contractors.

- To participate in staff training as required.

- To undertake the role of Fire Warden as required.

- To undertake the role of First Aider as required.

- To undertake a key role in the Emergency evacuation and Lockdown procedures.

- Other duties of a similar nature.

 - To participate in college wide activities as required e.g. open days, enrolment etc.
